Every day's work, from the stand to the payroll.

Foremen log attendance and labor on their phone, offline. Every record arrives with photo, GPS and time, goes through approval by zone, and reaches piece-rate payroll with its rate frozen.

When pay is per hectare, tree or ton, every error in a record is an error in payroll.

  • Attendance and labor on paper or spreadsheets, transcribed days later.
  • Padded quantities nobody can check against what happened on the lot.
  • No trail of who logged, who corrected and who approved.

One record, from the field to payroll

The phone only captures. The server validates, routes and locks.

  1. Attendance

    Foreman · phone, offline

Pick the crew, everyone starts present. Uncheck absences with a reason and take the crew photo: the phone counts the people.

  2. Labor

    Foreman · phone

Labor, farm, lot and quantity. Only people present that day can be assigned.

  3. Approval

    Approvers · web

1 to 5 levels per zone, sequential or parallel. Approve, reject, or return with a comment.

  4. Rate

    Server

On approval the rate valid on the labor date is resolved and frozen on the record.

  5. Payroll

    Payroll · HR

Computed per employee per period from approved records only. Exports to Excel or CSV.

Record statuses

  1. Draft

On the phone, not yet sent.

  2. Submitted

Received and validated by the server.

  3. In approval

Moves level by level within its zone.

    • Returned Goes back to the foreman with a comment; once fixed, it is resubmitted.
    • Rejected Closed; it never reaches payroll.
  4. Approved

    Locked, with its rate frozen.

Three ways to split a labor

Each labor's distribution mode turns the lot's quantity into each worker's share.

The total quantity is divided among participants.

Suspicious records get flagged, not silently accepted

Every record keeps device time, server-received time, GPS position and accuracy, device, user, app version and photos. These flags route it to the exceptions queue; every threshold is configurable.

Flag 1Headcount mismatchPhoto count differs from the checked count by more than 20%.
Flag 2Outside farmGPS outside the farm boundary, or accuracy worse than 100 m.
Flag 3Clock driftDevice time differs from GPS or server time by more than 30 min.
Flag 4Late entryRecord date more than 2 days before submission.
Flag 5Over capacityPer-person quantity above the labor's daily max, or lot area exceeded.
Flag 6Duplicate personSame employee present in two groups on one date.
Audit trail
Append-only log of every create, edit, submit, approve, return and export, with user, time and before/after values.
Versions
Approved records are locked. A change creates a new version that goes back through approval.
Privacy
Counting runs on the phone and counts people: it never identifies faces.

Repeated for every approved record in the period and summed per employee. For day-rate labor, work done is the days worked.

Weekly, biweekly or monthly period

  1. Open

    Records are submitted and approved.

  2. Cutoff

No new records. Pending ones are listed so HR can chase approvers.

  3. Closed

Nothing changes. A late correction posts as an adjustment in the next period.

Detail per employee: date, labor, lot, quantity and amount. Exports to Excel and CSV.

Contractors, measured on the same scale

Supplier work is logged without individual names and follows the same approval workflow. Yield compares per worker-day, not headcount, so it stays fair when crews work different hours.

Yield = quantity ÷ (workers × days)

  • Own crew0.46 ha per worker-day
  • Supplier A0.41 ha per worker-day
  • Supplier B0.33 ha per worker-day
Illustrative example · Weeding, north zone, October

Approved quantities per supplier per period form a statement to reconcile against the supplier's invoice.
